Location: Indianapolis
Job Type: Full-Time
Classification: N-2
Pay Range: $16.00-18.00 (Based on experience)
Reports To: Assistant Director of Logistics & Equipment

Who We Are:

We are an open-access college that fuels Indiana's economy through excellence in teaching and proactive engagement with industry and community partners, embedded in a culture of innovation that empowers all students to learn and succeed. We are "higher education at the speed of life!"

Our Values:

• Empathy: We stand with our students, partners, and communities.

• Integrity: We treat all with dignity and respect.

• Accountability: We deliver on our commitments.

• Agility: We innovate, iterate, and transform.

• Connectivity: We connect with partners to strengthen communities and ensure student success for all.

About the Role:

We're seeking an Events Logistics Technician who thrives on variety, works independently with confidence, and takes pride in delivering exceptional experiences. Reporting to the Assistant Director of Logistics & Equipment, evening and weekend availability is occasionally required.

MAJOR RESPONSIBILITIES:
  • Coordinate event setups across 10+ venue spaces including conference rooms, classrooms, suites, ballrooms, and auditoriums with precision in furniture layout, AV equipment, staging, décor, and signage.
  • Perform full teardown and cleanup post-event, including trash removal, basic floor cleaning, restroom checks, and restoring spaces to original configuration.
  • Transport event materials, marketing supplies, and equipment to off-site and partner venues; set up outdoor gear such as tents, tables, chairs, signage, and sandbags.
  • Maintain organized inventory of event supplies and equipment; track usage, inspect condition, and ensure timely return of borrowed or rented items.
  • Operate forklifts, golf carts, and utility vehicles to move equipment; manage overlapping events across campus locations and adapt to last-minute changes, especially for paid and VIP events.
  • Provide welcoming, solution-focused support to the campus community; collaborate with event coordinators, facilities, custodial teams, and external partners; review event orders and communicate updates to supervisor.
  • Offer backup support to mailroom, shipping/receiving, maintenance, custodial, project management, and shuttle services during slower event periods.
  • Complete assigned work orders, document event completion, report maintenance needs or damages, and uphold safety standards throughout all event activities.
REQUIRED QUALIFICATIONS:
  • Valid driver's license with clean driving record for campus and off-site transportation.
  • Ability to safely lift and carry up to 50 pounds independently; heavier items with assistance.
  • Ability to move safely on stairs, ramps, and ladders.
  • Must be able to travel across Indianapolis campus locations using College vehicles.
  • Flexible schedule with availability for evenings and weekends
  • Proficient with hand/power tools and experienced in furniture and equipment setup.
  • Capable of performing physical tasks including overhead activities, bending, twisting, and working in varied indoor/outdoor conditions.
MINIMUM REQUIREMENTS:
  • High school diploma or equivalent required; additional education/training welcomed.
  • Practical understanding of inventory management and equipment assessment.
  • Strong teamwork, reliability, and customer service skills.
  • Preferred experience in event setup, warehouse, transportation, or logistics.
  • Preferred experience in academic or state organizations.
  • Preferred experience in facilities maintenance and equipment installation.
  • Detail-oriented with ability to execute precise event instructions especially for paid, wedding, and VIP events.
  • Skilled in space planning and interpreting setup diagrams.
  • Ability to adapt and collaborate in a team environment.
  • Forklift certification is a plus but not required.
IDEAL CANDIDATE:

You're an events enthusiast who takes pride in creating memorable experiences through attention to detail. A reliable self-starter, you're comfortable working independently during evenings and weekends, and thrive in managing multiple event timelines. You bring a teamfirst attitude, strong ownership mentality, and understand that every event reflects institutional excellence. Most importantly, you're eager to grow your skills in event logistics and operations.

Role Clarity: Events Logistics vs. General Custodial

This role owns the full event lifecycle including post-event cleanup. You are responsible for:
  • Event setup, execution, teardown, and cleanup
  • Restoring event spaces to ready-for-use condition
  • Trash removal, basic floor cleaning, and space organization
  • Evening/weekend event support across campus
  • Other duties as assigned
Note: This is not a general custodial position. Routine building maintenance and daily cleaning are handled by custodial staff.

Schedule Expectations :
  • Flexible hours: Based on event calendar (evenings/weekends)
  • Weekly planning: Event schedule posted every Wednesday for the following week
  • Peak times: Increased hours during graduations, recruitment season, Black Expo, job fairs, weddings, and major sponsored events
  • Holidays: 9 paid holidays observed • Adjustments: Last-minute event changes may require schedule flexibility • Typical week: 2-3 evening or weekend events requiring setup and teardown
Why You'll Like It Here:
  • See Your Impact: Help create unforgettable events graduations, weddings, job fairs, student celebrations
  • Every Day is Different: From intimate dinners to large-scale sponsored events
  • Professional Development: Grow your skills in event management, logistics, and operations
  • Collaborative Culture: Team-driven environment where everyone is valued
  • Predictable Scheduling: Weekly calendar helps you plan ahead
